General Terms and Conditions
Please read and understand all the information on this document. By booking a travel programme you will enter into agreements with STS Travel and with others who provide your services.
DEPOSIT AND PAYMENT SCHEDULE
Payment can be made by cash, money order or credit card.
Deposit: A per person deposit will be required at time of booking for standard package programmes. Actual deposit amount will be provided at time of booking as it may differ depending on the supplier of services. Standard packages include land packages and packages with or without flights. For non-standard packages or groups a deposit will be required. Amount of deposit will be advised at time of confirmation of the programme arrangements.
Balance of Payment: Final payment on all bookings is required no later than 55 days prior to departure date.
Bookings within 55 Days of Departure: Typically, full payment required at time of booking.
Changes to standard packages or groups: Should a change be required, a per-person fee may apply in addition to any change in airfare or other package or programme components plus applicable surcharges.
CHARGES FOR CANCELLATION
Charges may differ for standard packages, non-standard packages and groups. Applicable cancellation charges will be advised at time of programme confirmation. In general, the following guideline may apply:
From time of booking to 45 days prior to departure – forfeiture of deposit per person.
From 44 days to 33 days prior to departure – forfeiture of deposit plus $300 per person.
From 32 days to date of departure – forfeiture of total programme price.
Note: Generally, name changes are not permitted by airlines.
Unused tour or programme features are non-refundable.
STS Travel strongly recommends that all travellers consider trip cancellation & medical insurance offered at STS Travel.
Revisions to Accommodation and Departure Dates:
An administrative fee may apply plus any cancellation/ change fees imposed by the supplier. If original occupancy in accommodation is reduced, the remaining travellers may be subject to additional charges to cover the cost of the unit.
Charges for Bookings within 15 days of departure:
May be subject to a fee to cover additional administration costs.
CONDITIONS ON CHILDREN RATES
Children rates are applicable when children share accommodation with full paying adults.
If additional beds (cribs, cots) are required there may be an additional charge.
TRAVEL IDENTIFICATION REQUIREMENTS
Each traveller is responsible for carrying proper government issued photo identification as required by all relevant agencies.
Travel programmes within Canada – government issued photo I.D. is required to board all aircraft. Travel between U.S.-Canada, a valid passport is mandatory.
A passport valid until return date is mandatory for travel to the United States. For Europe, and other global destinations, a passport is mandatory and must be valid for at least 6 months after the date of expected return to Canada.
Non-Canadian/US citizens may require additional documents to enter Canada, USA, Europe or other regions. It is the travellers’ responsibility to research and obtain the required information and documentation.
It is the clients’ responsibility to ensure that all names on the invoice/ itinerary are exactly the same as on each person’s travel identification.
The full name of the traveller, as it appears in their travel documentation, is required for an airline reservation. The airline tickets will be issued with the names as they appear on the invoice/ itinerary. Therefore, any changes must be made upon receipt of the invoice/itinerary. *Non-Canadian / U.S. citizens may require additional documents to enter Canada. It is your responsibility to research and obtain this information.
On occasion flight schedules may be changed by the airlines prior to departure. It is the responsibility solely of the participant to confirm flight times.
Airline Pricing, Flight Times and Scheduling
Flight times shown are accurate at time of printing and are subject to change. On occasion alternate flight schedules may be substituted by the airline or STS Travel to co-ordinate with ground transfers. It is the responsibility solely of the participant to confirm flight times.
Luggage fees are charged by all airlines flying to all destinations. These fees are subject to change, are paid directly to the airline at time of check-in and are not included in STS Travel pricing.
TAXES
Applicable taxes (GST/QST/HST) will be added to all travel programs and any applicable fees.
EARLY BOOKINGS
Early booking specials apply to specific packages and travel programmes. Please ask our consultants or check the relevant website for details.
CONTRACTUAL ARRANGEMENTS:
In contracting with travel participants, STS Travel undertakes to arrange the services discussed or referred to whenever possible. With respect to the services provided, STS Travel acts only as an agent for carriers, hotels, destinations and other services and suppliers and to that extent the contract in effect is between the participant and the suppliers of those services on the terms offered by those suppliers, particulars of which STS Travel undertakes to provide for the participant on request.
In selecting and booking a travel programme, STS Travel accepts no responsibility for the consequences of any events beyond its control, including but not limited to strikes, lockouts, demonstrations, government action and weather conditions. In the event STS Travel finds it necessary to cancel a programme, STS Travel liability will be limited to the refund of all monies paid by the participant.
STS Travel accepts no responsibility for mechanical difficulties, lost luggage, delays, or missed flight connections due to such difficulties or delays, arising from the transportation services provided including motor coaches, fight time changes or day of departure changes by STS Travel, contracted service provider or the airline involved, nor for flights missed because of connecting flights due to weather, mechanical difficulties or other causes.
PRICE POLICY
Every effort has been made to ensure details are accurate. STS Travel reserves the right to correct any errors or omissions made during printing.
It has always been STS Travel policy to avoid increasing prices as every effort is made to anticipate costs at time of travel, however, in the event unanticipated increases such as fuel costs or taxes occur, or where there are changes in the US dollar or foreign currencies, STS Travel and its principals reserve the right to charge participants for those increases.
STS Travel has no control over pre-packaged programmes and it’s pricing. Therefore, any price increases will be the responsibility of the wholesaler/supplier and will be passed on to the traveller.
